The Art of Trip Sign-Up and The Fine Print
Your chance to sign-up for your favorite SCSC Trips
- You must be a current member in good standing to be added on a trip Contact the VP of Marketing/Membership if you have questions regarding your membership status.
- All of the trips will be posted on our website at www.spacecity.org. Go to Trips and click on the trip for current details and to register.
- Space City will no longer accept cash as payment for trips. Credit Card, Check and Money Orders are acceptable forms of payment.
- You may sign up yourself and one other member per trip.
- If a registrant is a single traveler, it is the responsibility of the participant to identify a qualified roommate. If the Trip Coordinator aids with roommate matching, it will be the responsibly for each participant to communicate and approve the match within two weeks of being notified by email.If participants do not agree, then one of the following options exist:
- the option to pay for a single supplement (if available), or
- be moved to the wait list, or
- cancel less club cancellation fee before final payment
- The deposit for trips is usually based on 15% but may vary based on the trip total. Progress payments may also be required based on the trip total.The quickest way to pay is by credit card. If you pay by check a discount will apply, contact the Trip Coordinator for the mailing address.
- If the trip is full, please contact the Trip Coordinator in writing via email to be put on the wait list
- These procedures apply to ALL members except the trip TC and ATC. All Trip Participants are subject to SCSC Standing Rules, Policies and Procedures.
- SCSC is not responsible for any problems with the U.S. Postal Service or the internet, including delayed delivery or lost mail.
- Information shown on the Trip Schedule is subject to change. Contact the TC or ATC for up-to-date information.
- All Land Package participants bear all risk of any costs they may incur due to the cancellation of a trip. SCSC is only responsible for costs the Land only participant paid SCSC, and any refunds would be per the club’s cancellation policy. If SCSC must change the ground transportation plan, even at the last minute, a Land only participant’s maximum refund will be the budgeted amount for the bus seat. Any cost a Land participant incurs due to delayed or canceled flights or other transportation problems is their sole responsibility and does not entitle them to a refund of their ground transportation cost paid to the club.
Rules and Restrictions for Land Packages
- The price of the land package generally includes ground transportation unless specifically stated otherwise. To utilize this ground transportation the land participant must meet the group at the destination airport on time. Ground transportation will not be delayed for land package participants arriving later than the group.
- Transfers between airports and hotels are arranged for the main group and are coordinated with the main group’s flight itineraries. It is incumbent upon the participants to adhere to this recommendation, cost for off schedule transportation will be the responsibility of the participant.
- Full package and Land only are the only packages generally offered. No other combinations of lodging and/or transportation will be offered unless approved by the VP-trips and the Executive Committee.
- Normal cancellation policies apply plus the added stipulation that after final payment date, land only participants must be replaced from a land only wait-list and full package participants must be replaced from a full package wait-list.
- Be sure this is the package you want - All switches between Land and Full Package must be coordinated and approved by the Trip Coordinator.
- If you sign up for a land package, please notify the Trip Coordinator of your transportation plans in advance of the trip. The Trip Coordinator can tell you where to meet the group at the airport and other pertinent details.
